Confidentiality and Information Use Policy

Purpose: The purpose of this policy is to ensure the protection of confidential and personal information collected and maintained by the Asian Culture Center of Tennessee (ACCTN). This includes, but is not limited to, names, phone numbers, email addresses, addresses, and any sensitive information related to staff, volunteers, students,donors, vendors, performers, or community members.

Scope: This policy applies to all employees, contractors, interns, volunteers, and any individual who has access to confidential or personal information through their association with ACCTN.

  1. Ownership of Information All data and information collected or maintained by ACCTN are the sole property of the organization. This includes organizational databases, email lists, contact records, documents, and communications, regardless of format (electronic, paper, etc.).
  2. Permitted Use Access to confidential or personal information is granted strictly for the purpose of carrying out duties and responsibilities on behalf of ACCTN. Under no circumstances may this information be used for personal, commercial, or non-ACCTN-related purposes.
  3. Prohibited Actions The following actions are strictly prohibited and may result in disciplinary action, including fines or termination of contract/employment:
    • Using ACCTN data (e.g., email lists, phone numbers) for personal gain or solicitation.
    • Sharing confidential information with unauthorized individuals or third parties.
    • Retaining copies of data after employment or contract ends.
    • Sending ACCTN data to a personal email account or storing it on personal devices without permission.
  4. Security and Storage All personal and organizational data must be stored securely. Digital files must be password-protected or stored on ACCTN-approved platforms. Physical files must be kept in locked or secured locations.
  5. Consequences of Violation Unauthorized use, sharing, or misuse of ACCTN’s confidential information will result in disciplinary action, including:
    • A minimum fine of $10,000, depending on the severity of the violation.
    • Termination of employment or contract.
    • Legal action if applicable.
  6. Acknowledgment and Agreement All individuals who access confidential or personal information as part of their work with ACCTN must sign this policy, acknowledging their understanding and agreement to comply.
